The Correspondence Center sends notifications and letters to vendors on demand and automatically in some cases. Letters and notifications sent from the correspondence center are stored in the database. If the correspondence is a letter, it must be configured first using the PRISM letter template.
Configuration consist of adding your letter and replacing fields with PRISM tags. These tags are replaced with actual data when the letter is produced in real time. If the correspondence is an email, it can occur when the correspondence center is invoked. In either case, this tool is a great way to perform outreach and integrate your letters into your compliance or outreach processes.
There are two work flows associated with the correspondence center: Creating the correspondence and sending the correspondence. Creating the correspondence is done once. Sending the correspondence can occur often.
All of the PRISM modules have access to the correspondence center. Each module may have its own collection of letters (that are part of your processes).
Correspondence may be sent to a single vendor or a collection of vendors. The collection of vendors may be all vendors or the results of an advance search. So, if you create and advance search to find all WBE trucking firms with over 12 employees, this list can be corresponded with automatically via the correspondence center. Its all taken care of by PRISM. Simply run the advance search and indicate correspond, select the letter or email you wish to send and that's it. Its that easy.
