PRISM can mimic a process by allowing a jurisdiction to create a workflow. The workflow consist of phases and the phases consist of steps. By ordering the phases and steps and making phases ans steps required or optional, a complete workflow can be modeled from internal processes.
Imagine modeling a certification process or a contract monitoring process. What phases and steps do you perform? A workflow must be created before it can be used for contracts or certification applications, etc. Below is the process for creating a workflow. After a workflow is completed, it can be assigned contract or certification.
Lets discuss a sample workflow for DBE certification.
The configuration for workflow may be found in the PRISM configuration.
Configuring a Workflow
Step 1: Navigate to the Prism -> Workflow tab in configuration.

Step 2: Start the Workflow Wizard by clicking the Workflow button (

Step 3: Add a workflow Name and Description.
This is also where you can set a Workflow as the default Workflow (this check box will be grayed out until the configuration of the workflow is complete). Select the module that the workflow will be used (Certification, Contracts).

Step 4: The next step is to configure the workflow phases (below)
1.Enter the phase name,
2.Enter the specialists responsible for the phase (the user accounts that can advance the phase),
3.The delegate (that is also responsible for the phase)
4.Want PRISM to email the responsible specialist when their phase starts?
5.What is the logical order of this phase. The order should be unique.
6.Is this phase required or can it be skipped
7.Should the vendor be notified when this phase starts
8.Is there an attachment required for this phase?
This should be repeated for each phase of the workflow.

Step 5: Configure the Steps for each Phase.
Each phase has one or more steps. Steps may be required or optional. Steps are where the real process work is done.
1.Select a phase that the step is associated
2.Enter a Name for the step
3.What is the logical order of the step
4.What is the description of the step? What is being performed for this step?
5.Is this step required or optional
6.Is there an attachment required
7.Should the specialist enter a comment?
As steps are added to the phases, the list (below) will populate with the workflow. Its taking shape!

This form is completed for each step (above). Click 'Save' to save the step and populate the list (above).
